Aéro Montréal, the industrial cluster representing 280 organizations in Québec’s aerospace sector, is seeking a creative and innovative Executive Assistant to join its dynamic team!

JOB TITLE: Executive Assistant
STATUS: Permanent / Full time
START DATE: As soon as possible

POSITION SUMMARY

As Executive Assistant, you will support the CEO in day-to-day activities by taking on a range of tasks tied to the role. You understand the responsibilities entrusted to you as well as the CEO’s direction and intent, so you can independently handle certain administrative matters, draft various documents, coordinate with internal and external stakeholders, inform teams, and, when needed, guide managers on the CEO’s expectations regarding file handling.

RESPONSIBILITIES

  • Provide administrative support to the CEO: calendar, travel, email and correspondence management (conflict resolution, sending invitations, meeting organization)
  • Coordinate daily activities, identify priorities, and schedule appointments
  • Plan travel and prepare and compile monthly expense reports
  • Organize internal and external team meetings for members of the executive team
  • Plan business meetings, Board of Directors and committee meetings, and prepare all related documents
  • Strengthen the application of the organization’s governance and operating rules
  • Serve as lead for governance and all files related to Aéro Montréal’s Board of Directors and its members
  • Manage and track files and ensure proper follow-up
  • Liaise with stakeholders for files involving the CEO
  • Contribute to the organization of events (AGM, Golf, Paris Air Show, etc.)
  • Provide meeting support (conference room bookings, catering orders, minutes, etc.)
  • Organize and coordinate ad hoc projects
  • Draft, revise, and format a variety of documents
  • Provide excellent administrative support to the entire Aéro Montréal team

REQUIREMENTS

  • More than seven (7) years of experience in a similar role
  • College or university degree
  • Prior experience within an organization will be considered an asset
  • Bilingualism, spoken and written (French and English), with excellent communication skills
  • Excellent writing skills
  • Strategic, curious, and analytical; able to consider different angles to solve problems
  • Ability to work autonomously, responsibly, and efficiently in a hybrid work environment
  • Knowledge of the Zoho Suite is a strong asset
  • Familiarity with the aerospace sector is an advantage
